Conditions, Actions, and Exceptions...

Conditions...

E-mail Management Server includes a number of conditions to test whether or not a message or attachment should be dealt with.  Below is a listing of conditions currently available along with clarification of how they apply.

contains a hyperlink to: <parameters>

checks the message to see if it includes a specific hyperlink path

contains an attachment of the type <file extensions>

checks to see if the type of attachment found matches the file extensions specified

contains an attachment which size is <in a specific range>

checks the size of the attachments contained within the message

contains an attachment with <specific words> in the attachment name

checks for specific words in the attachment name

contains <specific words> in the subject

checks to see if the message subject contains specific text

contains <specific words> in the message body

checks to see if the message body contains specific text

contains <specific words> in the subject or message body

checks to see if the subject or message body contains specific text

contains <specific words> in the sender's e-mail address(es)

checks to see if the sender's address contains specific text

contains <specific words> in the recipients e-mail address(es)

checks to see if the recipient's address contains specific text

has more than <a specific number of> attachments

checks the message to see if it contains more than the specified number of attachments

has the importance specified as <parameter>

checks the message for the importance flag

has the sensitivity specified as <parameter>

checks the message for the sensitivity level

is assigned to <a specific category>

checks to see if the message has been assigned to a specific category

is from <people or groups>

checks to see if the message is from a particular person or group of people

is <incoming or outgoing>

checks to see if the message was sent or received

size is <within a specific range>

checks to see if the message is of a particular size

was received within <a specified amount of time or date>

checks to see if the message was received during a specific time frame

was sent to <people or groups>

checks to see if the message was sent to a person or group of people

Actions...

E-mail Management Server includes a number of actions that can be performed if a message or attachment passes the conditions specified.  Below is a listing of actions currently available along with clarification of what they do.

Clarification of Action

Assign the message to a category

Sets the message category on the message.

Delete the attachment

Deletes the attachment from the message and leaves text in the message indicating the attachment was deleted, the date and time of deletion and the name of the file that was deleted.

Delete the message

Deletes the messages that meet the rules conditions excluding any specified exceptions.

Mark the message as read

Changes the message state to be read if it is unread. If unread no change is made.

Mark the message with importance

Sets the message importance to low, normal or high as specified.

Mark the message with sensitivity

Sets the message sensitivity to normal, personal, private or confidential as specified.

Move the attachment to a file folder

Saves a copy of the attachment in the file folder specified. This action also removes the attachment from the message and leaves a hyperlink pointing to the location of the message in the file folder.

Move the message to a file folder

Saves a copy of the message in the file folder specified. This action also removes the message from the PST, mailbox or Public Folder.

Move the message to a Personal Folder File (PST)

Moves the message from the current location into another Personal Folder File.

Record information about the messages or attachments in a report file

Does not make any changes to the message or attachments. This action simply records information about the messages and attachments it finds that match the conditions and actions specified within the rule.

Reattach the attachment

Removes the hyperlink text in the message and puts the attachment back in that was previously removed by E-mail Management Server.

Redirect the hyperlink to: <parameters>

Changes the hyperlink in the message to reflect the new hyperlink as specified.

Save a copy of the message to a file folder

Saves a copy of the message in the file folder specified. This action does NOT remove the message from the PST, mailbox or Public Folder.

Save a copy of the attachment in a file folder

Saves a copy of the attachment in the file folder specified. This action does NOT remove the attachment from the message.

Exceptions...

E-mail Management Server includes a number of exceptions that can be used to exclude particular messages or attachments that may pass the conditions specified but that actions should not be performed on.  Below is a listing of exceptions currently available along with clarification of when they apply.

checks to see if the message has been assigned to a specific category

checks to see if the message is from a particular person or group of people
