E-mail Management Server 2006
keeps Exchange databases below the 16 Gigabyte limit!
Key areas to focus in
on:
- Delete specific
attachments but leave the message in tact and place the
filename in the message for reference
- Move large attachments
out of Exchange and put them in user’s home directories
or another network location, but leave a hyperlink in
the message for easy access
- Archive really old
messages on an ongoing automated basis
- Deleting attachments
that make your database size grow unnecessarily
The attachments in users’
sent items folders, more often than not, contribute to 50%
of the storage problem. These attachments really are
unnecessary. Documents, presentations, graphics,
spreadsheets etc… that users send to others have to come
from somewhere. Deleting attachments in users sent items
after the messages are 14 or 30 days old helps users keep
their mailbox size under control and prevents it from
growing so quickly. Users often need a record that they sent
the file. Using Exchange’s built in utilities will not help.
With E-mail Management Server, the attachments that are
deleted are replaced with the name of the attachments so
users still have the information for their reference.
Move large attachments
out of Exchange databases and put them elsewhere
Move attachments out of
Exchange and to less costly windows 2000 or 2003 file
servers. When E-mail Management Server moves attachments, a
hyperlink to the attachment is placed in the message. To the
user, they click on the link just like they would have
clicked on the attachment. Most won’t even know the
difference!
Archive really old
messages on an ongoing automated basis so databases don’t
keep growing
Most users don’t really
need to keep e-mail that is over a year old in their
mailbox. Have E-mail Management Server 2006 automatically
move messages out of users mailboxes and into a personal
folder file once they reach a certain age. You can ensure
that as each day goes by and as new mail comes in, really
old mail is being moved out. Meaning: New messages in. Old
messages out! This helps ensure that Exchange Databases are
taken care of every day. |
