Email Management Server

MADSolutions Email Management Server allows for granular content management of both attachments and messages stored in your MAPI message stores. The size of Personal Folder Files (PSTs), Exchange Server Mailboxes, and Exchange Server Public Folders can be regulated by deleting attachments or moving them onto a file or web server. Completely customizable, MADSolutions Email Management Server can be configured for manual or automated processing.

How it Works

• Email Policies operate on PSTs, mailboxes, or Public Folders.
• Email Polices are defined in rules that are set up just like regular Outlook rules. This includes all of the options currently available like filtering by file types, filenames, etc.
• Each Email Policy can be set to operate on a set of PSTs, every mailbox, or only selected mailboxes.
• Details about how much space was moved can be emailed to you after each processing period.
• A single share location can be set up to consolidate duplicate attachments moved from multiple mailboxes.
• Attachments can be placed in separate network subfolders for each user, in a users home directory, on a web site or in a single share location that consolidates duplicated attachments across multiple mailboxes.
• Whenever attachments are deleted, they can either be placed in the users Deleted Items folder or permanently deleted.

Flexibility
Our email solution does not lock you into a proprietary management or archiving solution. The storage of emails and attachments are left completely to the administrator based on their particular needs and preferences. While the use of standard URLs and UNCs ensures uninterrupted access to old emails and attachments.

Easy Set Up
The welcome wizard helps new users to get started right away. Our Microsoft Management Console interface is easy to understand and features easy to use wizards for performing most activities such as creating email Policies and assigning them to users, groups, organizational units, storage groups or message stores.

Comprehensive Analysis
MADSolutions Email Management Server lets you analyze PSTs, Mailboxes, and Public Folders more easily through an ‘Email Policy Definition Wizard'. Individual reports are available in CSV format and are also available in HTML format for quick reference or management review.

Intuitive Processing
The Email Policy Definition Wizard lets you process Mailboxes, Public Folders and PSTs more efficiently. Multi-threaded services mean faster messages and attachment processing. Multiple policies can be assigned to various mailboxes, public folders, or PSTs all at one time. Easy archiving of old messages to yearly PSTs can be automated. Also easily automated is implementation of scheduled emptying of users' deleted items.

Powerful Administrative Tools
With more Email Policy options, administrators can have finer control over processing of user's mailboxes and folders. Hyperlink redirection scans user's mailboxes to redirect hyperlinks when their attachments have been moved to another network location.

Innovative Enterprise Management
Take advantage of our new Enterprise Management features which reduce the need for maintenance of Email Management Server. With auto-notification you will know when new updates are ready for installation. The status of each service installation and its current version number can be automatically monitored. Update files for services or MMC consoles can be automatically replicated by updating only one machine. The Enterprise Management Services also allows Email Policies to be copied from server to server.

Improved Performance, Reliability, Scalability and Monitoring
Service Monitoring from the Management Console allows you to view current service activity or monitor Email Policy processing progress.

Email Management Server works with:

• Microsoft Outlook Personal Folder Files (PSTs)
• Microsoft Exchange 2000, 2003, 2007 & 2010 Mailboxes
• Microsoft Exchange 2000, 2003 & 2007 Public Folders

Corporate Editions include:

• Standard Edition
• Premium Edition

Each license of the Standard Edition can process one mailbox. Each license of the Premium Edition can process one mailbox, two public folders and two PST files. The Standard Edition only includes manual and scheduled processing and does not include the Single Share, RealTime or Enterprise features. The Premium Edition includes manual, scheduled and RealTime processing and includes the Single Share and Enterprise features.

System Requirements

PST Manual Processing:

• Administrative workstation with a MAPI compliant application such as Outlook 2000, XP or 2003, 2007 or Exchange System Manager / Management Console (Outlook 2007 recommended)

Mailbox or Public Folder Manual Processing:

• Administrative workstation with Exchange System Manager/ Management Console

Scheduled PST, Mailbox or Public Folder Processing:

• Administrative workstation with a MAPI compliant application such as Exchange System Manager/ Management Console (Recommended) OR Microsoft Outlook 2003 or higher.
• Administrative workstation Drive space – 5 Megabytes total for installation files etc.
• Microsoft Exchange Server 2000 or 2003 with Exchange System Manager/ 2007 Management Console

Moving or Saving Attachments / E-mails to a Microsoft IIS Virtual Directory
The Microsoft IIS Common Files must be installed on any machine where Email Management Server will be saving items to a virtual directory. They can be installed through the Add/Remove Programs control panel by installing the following component:

• Windows 2003/2008: Windows Components > Application Server > Internet Information Services (IIS) > Common Files
• Windows XP: Windows Components > Internet Information Services (IIS) > Common Files
• Windows Vista: Windows Features > Internet Information Services > Web Management Tools > IIS 6 Management Compatibility > IIS Metabase and IIS 6 configuration compatibility

Software Installation

• Email Management Server can be installed on an administrative workstation – Windows 2000 Professional, Windows XP Professional , Windows Vista, Windows 7 or directly on Exchange 2000, 2003 or 2007 Server.

Running ES without the Services

• Local administrative privileges to install Email Management Server
• Access to the mailboxes, PSTs or Public Folders to be processed

Running ES with the Service

• Local administrative privileges to install Email Management Server on the local workstation
• Local administrative privileges on the Exchange Server to install the Email Management Server services
• Assigned full control to the Email Management Server service accounts to process the PSTs, Mailboxes or Public Folders so sufficient access is available to perform actions on the aforementioned objects

Special Notes
When the share is created on the Exchange Server during the service installation, ensure the root folder and share have been assigned full permissions. Both the service accounts as well as any users you wish to be able to use the Email Management Server MMC to manage policy creation and policy assignment need to be included.
